The ReconStatus Used Car Reconditioning Process

The ReconStatus.com used car reconditoning process was intentionally developed to be very easy to use with as little data entry as possible. Dealership sales staff do zero data entry but have access to real time information for every used car on the lot by simply scanning a QR code with their cell phone or by logging into their account with any device. Other used car recondioning tracking systems have multiple inspection forms that are far too time-consuming and are not user friendly.

Your Dealership staff will use the ReconStatus system because the benefits of everyone being connected with the status of every vehicle, at all times, by simply scanning a QR code on the lot, or viewing the detailed car status lists makes it very simple to keep everyone fully informed of what is gong on with every car at all times. Our used car managers report that it takes about 15 minutes per day to add and update all of their vehicles, thanks to the built in V.I.N. Decoder and simple to use forms. The vehicle status calls and questions that used car managers receive from their staff who are trying to locate vehicles or the reconditioning status of a vehicle drops to practically zero.

  1. Sales manager or Staff: Add Vehicle (3 clicks)
  2. Service Manager or Staff: Click Vehicle and Check "COMPLETE" check box. Update Location if needed.
  3. Body Shop Manager or Staff: Click Vehicle and Check "COMPLETE" check box. Update Location if needed.
  4. Detail Manager or Staff: Click Vehicle and Check "COMPLETE" check box. Update Location if needed.
  5. Photo Service or Staff : Click Vehicle and Check "COMPLETE" check box. Update Location if needed.
  6. Used Car Manager or Staff: Click Vehicle and Check "COMPLETE" check box. Update Location if needed.

Once vehicle is marked as sold it no longer shows in any department list and can be viewed in "SOLD"


Tracking Used Car Reconditioning

Step 1: Adding a vehicle to the system

Click the "ADD NEW" Button on any vehicle list page. You can enter a VIN number and it will populate the vehicle data if availailable. Add the Stock Number and initial LOCATION.

WHAT HAPPENS WHEN A VEHICLE IS ADDED:

When a vehicle is added, the ReconStatus.com system creates a TASK LIST to track the used car reconditioning process and cycle time. The vehicle then shows up on the SERVICE DEPARTMENT list.

The TASKS to be completed for each vehicle:
  1. SERVICE
  2. BODY
  3. DETAIL
  4. TAKE PHOTOS
  5. SELL

TASKS ARE MARKED AS "TO DO" BY DEFAULT, BUT CAN BE UNCHECKED TO SKIP STEPS (Example: A new car is returned after a few days and it does not require body work or any service. You have the ability to uncheck "BODY" and/or SERVICE" in the "To Do" column. The vehicle would then change it's status to DETAIL and be shown in the list of vehicles ready for DETAIL, for example.)

Used Car Reconditioning Tracker

Status / Task 1: SERVICE

When vehicles are received they are take to the SERVICE DEPARTMENT FIRST and added to the ReconStatus.com system. The service department does the typical inspection, maintenance or repairs that they are already doing. Being in "SERVICE" does not mean the vehicle needs repairs. It only means service will at least inspect the vehicle or perform typical maintenance such as oil change, etc.

When the Service Department is finished with a vehicle, the service manager (or staff) deliver the vehicle to the BODY SHOP. They can then click the vehicle in the service list and checks the box under "COMPLETE" and change the LOCATION to "BODY SHOP" and click "UPDATE". They can also add a detailed location note to help staff find vehicles easier or vehicle note (optional).

WHEN SERVICE IS MARKED AS COMPLETE THE STATUS CHANGES TO "BODY" AND THE VEHICLE MOVES TO THE "BODY SHOP" LIST.

Status / Task 2: BODY

When the Service Department marks a vehicle as "COMPLETE" it moves to the "Body Shop" List and status. Being in "BODY" does not mean the vehicle needs repairs. It only means the Body Shop will at least inspect the vehicle.

When the body shop is finished with a vehicle, the manager (or staff) deliver the vehicle to the DETAIL DEPARTMENT. They then simply click the vehicle in the Body Shop list and check the box under "COMPLETE" and change the LOCATION to "DETAIL" and click "UPDATE". They can also add a detailed location note or vehicle note. (optional)..

ONCE THE BODY IS MARKED AS COMPLETE THE STATUS CHANGES TO "DETAIL" AND THE VEHICLE MOVES TO THE "DETAIL" LIST.

Status / Task 3: DETAIL

When the Body Shop marks a vehicle as "COMPLETE" it moves to the "Detail" List and status.

When the Detail Department is finished with a vehicle, the manager (or staff) click the vehicle in the Detail list and check the box under "COMPLETE" and change the LOCATION (If Necessary) and click "UPDATE". They can also add a detailed location note or vehicle note. (optional)..

ONCE THE DETAIL IS MARKED AS COMPLETE THE STATUS CHANGES TO "TAKE PHOTOS" AND THE VEHICLE MOVES TO THE "PHOTOS" LIST.

Status / Task 4: PHOTOS

When the photo service or staff is finished with a vehicle, they simply click the vehicle in the "TAKE PHOTOS" list and check the box under "COMPLETE" and change the LOCATION (If Necessary) and click "UPDATE". They can also add a detailed location note or vehicle note. (optional)..

ONCE TAKE PHOTOS IS MARKED AS COMPLETE THE STATUS CHANGES TO "READY TO SELL" AND THE VEHICLE MOVES TO THE "READY TO SELL" LIST.


Status / Task 5: SELL

When the vehicle is SOLD the sales manager or staff they simply click the vehicle in the READY TO SELL list and check the box under "COMPLETE".

ONCE THE VEHICLE IS MARKED AS COMPLETE THE STATUS CHANGES TO "SOLD" AND THE VEHICLE IS REMOVED FROM ACTIVE STATUS AND MOVES TO THE "SOLD" LIST.
